CONFERENCE CALL AGENDA
- Discuss the cities/club/AAU teams that have indicated their interest and plans for sports
- Discuss march meeting-do we want to have a meeting, who will come, if we don’t meet do we want to meet via regular conference calls instead/
- Modified rule will be sent by the end of January with proposed changes to adapt to increasing the number of club/AAU teams. We will either discuss this at March meeting or conference calls.
- Discuss funding and fees and deadlines
- Do we want to try to add as demonstration sports Table Tennis and Chess?
- Discuss Insurance plans
- Open questions
Coordinator’s Planning Meeting
Mar. 12-13, 2012 Birmingham, Al.-The hotel will be the Redmont hotel (www.theredmont.com) at2101 5th Ave. North Bham, Al. 35203 at $79.00 a night- for reservations call Comekia Lumzy-Benson at the Redmont 877-536-2085/205-324-2101 and mention U.S. Youth Games. We ask folks to come in Sunday night Mar. 11. On Monday morning Mar. 12 we will review rules, after lunch we will meet with sport/event coordinators; on Tuesday Mar. 13 we will in the morning meet to discuss this year’s plans and future plans and mid morning begin tours of proposed venues and finish by 4:00 that afternoon for people who wish to leave/fly out that evening. We are inviting new cities and many AAU, travel and club teams this year and we will need to adjust our rules accordingly.
June 1, 2012-We need to know what teams you will bring.
July 11, 2012 cut Off date to sign up cities/teams
July 20, 2012- We will need payment of entry fees.
COSTS- For July 25-28, 2012 U.S YOUTH GAMES
-$300.00 per person- For Wed-Thur-Fri, room, food, transport, insurance (secondary insurance and event insurance), local transport, competition costs, awards, special events. Miles College will be our host institution www.miles.edu for housing. There will be an additional fee for staying Saturday night and breakfast. We are working on bringing this price down and to determine the Saturday night costs if any.
-$75.00 per person- Does NOT include rooms, and only includes food at special events and lunches at venues but does include the insurance mentioned above, awards and special event and limited local transport (between venues). For those teams cities taking this option we will have a list of hotels which will have special youth game rates.
-$250.00 per team (includes only event insurance and lunch at venue and team participation and awards won-not housing or special events or shuttle/transportation). This applies to each team so a boys team will be $250.00 and girls team also be $250.00. This does not apply to exhibition sports (if offered) table tennis/chess which will $25.00 per team. For those teams cities taking this option we will have a list of hotels which will have special youth game rates.
Local transport during the games will be provided through Birmingham City School buses and if you arrive via plane/train you will be transported to and from Miles College. There will be a shuttle between venues and Miles that will operate on the half hour.
Tours- Utilizing our buses will be scheduled for those who want to tour the Birmingham, Civil Rights Institute, Birmingham Zoo or McWane Science Center and free/discount tickets will be available. This is for teams with gaps in their schedule or who have been eliminated.
VIP/Parent hotels- Lists and prices will be provided by June 1.
Costs for planning meeting- You will be our guests for lunch both days and we will provide local transport for the tours.

PROPOSED VENUES
The Birmingham CrossPlex is a 750,000 square foot, multi-purpose athletic and meeting facility in Birmingham, Alabama.
The world-class facility boastsa six lane oval hydraulic track and eight-60 meter lanes for sprint/hurdle events. The facility also features a 50-meter indoor Olympic swimming pool.
The hydraulic track features a Mondotrack surface and is one of only six in the United States and one of eight world-wide. The state of the art six lane oval track takes just ten minutes to raise or lower for banked corners. There are dual horizontal runways for pole vault, long jump and triple jump. Additionally, dual high jump approaches can be configured along with dual throwing sectors for shot-put located outside the oval.
Designed by Counsilman-Hunsaker, the pool has ten-50 meter lanes, ten-25 meter lanes and twenty-25 yard lanes. There are two-1 meter and two-3 meter diving boards. It also includes full-size locker rooms and showers for both men and women, plus a first aid room and a meet management/multi-purpose classroom.
The Crossplex is capable of housing nine indoor volleyball courts with dedicated flooring designed by Mondo for the facility. Drop-down netting will separate the courts for intimate game settings.
The floor can also be configured for wrestling, cheering and gymnastic events.
Crossplex's indoor track/volleyball facility holds 4,000 spectators including 7 VIP suites. The VIP suites have 22 outdoor seats overlooking the track and indoor space with furniture seating.
The pool natatorium can hold up to 1300 spectators in the stands and on the deck.
Our meeting hall has 5,000 square feet of usable space. It is capable of holding 500 people in a theater style setting and 200 in a banquet style setting. The room is equipped with wireless internet, four wireless microphones, two wireless headsets, projector with dropdown projector screen , DVD player, CD player, IPOD docking station , power point capabilities and a handheld touch screen remote for master control.
The Crossplex is just minutes away from downtown Birmingham. It's easily accessible to and from hotels, interstates, restaurants. Plus the airport is just ten miles away.

Mission Statement
The Youth Games is a program which was conceived in 1966 to offer to urban youth an opportunity for recreational and cultural growth through inner-city competition in sports.
These games were conceived as a vehicle to stimulate summer programs, to aid the youth of our urban cities, and to foster a better understanding through healthy competition actively based upon the Youth Games philosophy.
Its primary objective is to bring together boys and girls of different cities in friendly competition and to foster better understanding among the youth of today. The spirit of the games shall be promoted and furthered by all leaders and all participants.
